How to Set Up a Digital Token System Without Buying Hardware

You don't need a token machine, a server, or an IT vendor to run a digital queue. Here's how modern clinics do it with what they already have.

The traditional path to a digital token system involves a salesperson, a quote, a hardware installation visit, and a service contract. By the time it's running, you've spent ₹50,000–₹2,00,000 and locked yourself into a vendor relationship.

The modern path is different. And faster.

What you already have

Most clinics already own everything needed to run a digital queue:

A smartphone or tablet at the reception desk — for staff to manage the queue.

A TV in the waiting room — connected via any HDMI stick (like a Fire TV Stick or a Chromecast) to display the live token board.

Internet connectivity — any broadband or 4G connection is sufficient.

That's the complete hardware list. Nothing else is required.

How patients join the queue

A QR code printed on an A4 sheet and placed at the clinic entrance is all patients need. They scan it with the camera on any smartphone, enter their name, phone number, and gender, and they're in the queue. No app download. No account creation.

Patients who don't have smartphones — elderly patients, patients from rural areas — can be registered by the receptionist directly from the management dashboard. The system handles both.

What the TV shows

The TV display shows the current token being seen, the next few tokens, and a live waiting count. Patients can glance at the TV and know immediately where they stand. The display refreshes automatically — no manual updates required from staff.

Setup time

A cloud-based queue system can be fully set up in 30–45 minutes. You create a clinic account, add your doctor, print the QR code, connect the TV, and start. There's no installation, no configuration call with a vendor, and no training session required.
