Frequently Asked Questions
Everything you need to know about setting up and running QCare at your clinic.
General
What is QCare?
QCare is a cloud-based clinic queue management system built for India. Patients scan a QR code to join the queue, receptionists manage it from a tablet, and a TV display in the waiting room shows live status — who is being seen and who is next.
Do patients need to download an app?
No. Patients register from any phone browser by scanning the QR code at reception. No app, no account, and no login is required.
What size clinics is QCare built for?
QCare scales from a single-doctor clinic up to multi-branch hospitals — the Starter, Growth, and Enterprise plans are sized differently for doctor count and multi-branch support. Compare plans →
Pricing & Plans
What plans does QCare offer?
QCare has three tiers — Starter, Growth, and Enterprise — sized from a single doctor up to unlimited doctors across multiple branches. Annual billing saves you roughly two months compared to paying monthly. See current pricing →
Is there a free trial?
Yes — a 14-day free trial with no credit card required. Unlike the paid plans, the trial enforces a strict hard cap with no walk-in override once its daily token limit is reached. Start your free trial →
Is GST included in the price?
18% GST is applied on all plans. You can add your GSTIN in Admin → Billing so it appears on your invoices.
Is WhatsApp notification included in the price?
WhatsApp notifications are available as a paid add-on on the Starter and Growth plans, enabled from Admin → Billing.
Setup & Getting Started
How long does setup take?
Most clinics are live in under 30 minutes: add your doctors and their weekly schedule, add reception staff, print the QR sticker for the front desk, and open the manager dashboard and TV display. The Setup Guide tab in your admin panel walks through every step.
What hardware do I need?
A tablet, phone, or computer for the reception manager dashboard; any TV with an HDMI port plus an Amazon Fire TV Stick for the waiting-room display; and a printed QR sticker at the reception desk. No special hardware or installation visit is needed.
Can I add more doctors or upgrade later?
Yes. Upgrade from Starter to Growth (or Enterprise) at any time from Admin → Billing — your existing doctors, schedules, and history carry over with no re-setup needed.
Patients & Registration
How does a patient join the queue?
They scan the QR code at reception, fill in their name, age, gender, and phone number, pick a doctor, and receive a token number instantly (e.g. DR1-007).
Can a patient check their place in line without WhatsApp?
Yes. Every token comes with a status page link showing live queue position and an estimated wait time, whether or not they opted into WhatsApp.
Why doesn't a doctor appear on the registration page?
Same-day doctors only appear when today is a scheduled working day and their queue is open. Advance-booking doctors are always visible, showing their next available date and time. If a doctor is missing, check the doctor's schedule and queue status in Admin → Doctors.
WhatsApp Notifications
What WhatsApp messages does a patient receive?
Up to three, and only with the patient's consent given at registration: a registration confirmation with their token number, an alert when exactly 3 patients are ahead of them, and a notification the moment they're called.
Why didn't a patient receive a WhatsApp message?
Check that they gave WhatsApp consent during registration, that the clinic's WhatsApp add-on is active (Admin → Billing), and that their number is a valid 10-digit Indian mobile number.
TV Display
What do I need to run the waiting-room TV display?
Any TV with an HDMI port and an Amazon Fire TV Stick running the QCare TV app — no separate monitor, PC, or IT setup required.
Can I show more than one doctor on the TV?
Yes — by default, every doctor's open queue shows side by side on the same display. Multi-station clinics running several TVs can filter each one to a specific doctor using a station code from Admin → Stations.
Does the TV display announce patients out loud?
Yes. The QCare TV app plays a bell chime followed by a spoken announcement of the token number and room when a patient is called.
Security & Data
Is patient data secure?
Yes. Each clinic's data is isolated at the database level with row-level security, reception staff log in with a one-time WhatsApp OTP (with a backup PIN as fallback), and data is hosted on Supabase (PostgreSQL) in the Singapore region.
Is data shared between different clinics?
No. Every clinic’s queues, tokens, and staff accounts are scoped strictly to that clinic — no data is ever visible across clinics.
